Best AI Recruiting Tools 2026: the SMB Version

Best AI Recruiting Tools 2026: the SMB Version

Our shortlist for teams that hire 20 people a year, and not 2,000.

POV: You run a 20-person company. You hire 5 to 30 people a year. You search for "best AI recruiting tools" to find something that will help you streamline your hiring. Honestly, most of those lists are a bit... useless.

Everybody is going all-in on AI and just dumping in a bunch of AI functionality into a product has never been easier. But if you're a small team, you're not looking for a thousand AI features and you're not interested in how companies use AI in their marketing terms.

Here at Ponta, we're a small business ourselves. We know what small and medium businesses need when looking to add a new product into our tool stack. For hiring, what SMBs need are products with flat, predictable pricing and AI that actually helps them shortlist candidates and make sense of their hiring process. Not a list of the latest AI buzzwords.

We tried taking an honest look at ourselves and products like ourselves. Our TL:DR; is this: PontaHR and Breezy HR for flat-rate pricing, Workable and Manatal if you want their AI screening (at a cost that grows with you), and JazzHR or Zoho Recruit as budget entries.

This is written for all of you founders or solo HR people who own hiring alongside everything else you have on your plate. Not for someone with a big talent acquisition team.

What made the cut (and what didn't)

When working on this list, we scored everything across three criteria.

1. A non-recruiter has to be able to use it. Some of you are founders or team leads, and not HR professionals. If a product requires you to sit down with a cup of coffee and a manual, we didn't include it here. PontaHR, for example, is set up in an afternoon, no manual needed. Coffee is fine.

2. The AI has to save real time, not sell a demo. Every product out there now says "AI-powered." We do too! The question is whether it can read hundreds of CVs for you and give you meaningful information back or just adds a chatbot. We only kept products where the AI produces real, meaningful results.

3. The pricing has to be something a small team can predict. No surprise invoices. This one knocked out most enterprise suites, so you will not see Greenhouse, Ashby, or Workday here. They are fine products. They are not built for a team hiring 20 people a year, and they price like it. Don't you hate it when you go from 49 to 50 employees and BAM, your ATS just costs double because you hired Irene in accounting?

Leave complicated hiring behind.

The all-in-one ATS that makes hiring faster, simpler, and genuinely enjoyable for your whole team.

The pricing trap: per-seat, per-employee, or flat

This is where most SMBs get burned. If you take a look at the table above, you can see three different pricing models in there.

Per-employee. For example, Workable's bill scales with your company headcount, not your recruiter seats. Let's say you hire Steve in customer support. He doesn't help with hiring. But, your ATS just got more expensive, even though you are running the same number of open roles. You pay more for growth you already paid to achieve. You're being punished for success!

Per-user (Manatal, Zoho Recruit). Manatal is priced per user per month, so every hiring manager you add to the account raises the bill. That's kinda fine, but what if you want feedback from someone else on the team that's not usually part of the hiring team? Or you want to make sure to grab feedback from their entire team. One person who ends up leaving 10 comments in the ATS ends up costing you the same as the person who hired most of your team!

Flat, feature-tiered (Breezy HR, PontaHR). Breezy uses flat tiers that scale by features, not team size. PontaHR does the same: $89 or $210 a month, unlimited users, unlimited jobs, no per-seat math and no surprise invoices. You know your bill in January and you know it in December.

Where does AI actually save a solo person time?

Strip away all the "AI-powered" labels from a marketing website. Then take another look at it and ask what a product does when you are the only person hiring. There's three things that are really important.

Reading the pile. You post a role and all of a sudden get 200 applicants. Our candidate summaries turn each CV into a few lines you can scan, so you stop reading resumes top to bottom. This is the single biggest time saver for a one-person operation.

Shortlisting. Our "Candidate Intelligence" shortlisting ranks the pile against the role so you start with the top ten instead of all eighty. We don't do any sort of automatic disqualification, but we do want you to take a look at the best candidates as soon as possible. You can see how we built this on our candidate intelligence page.

Scheduling. Our interview scheduling tools integrate against your (and your team's) Google and Outlook calendars. We show you when everyone is free and busy and then give you the tools to share your availability with candidates, getting rid of the dozen back-and-forth emails. Workable's AI screening and sourcing is cited by reviewers as a genuine time-saver, so if you can stomach the headcount pricing, it does real work. Manatal's Enterprise tier adds workflow automations.

The EU-friendly pick

If you hire in the EU, there's one more thing you need to pay attention to: how the product treats GDPR and the EU AI Act.

AI shortlisting handles candidate data and automated decisions, which is exactly what the EU AI Act cares about. From the start, we've been building Ponta and our AI features to be compliant with data and AI privacy laws.

So which one should you pick?

To put a different spin on an old adage: "Don't bring a gun to a knife fight!" For a small team with a budget, don't go wasting your money on a product that gives you hundreds of features of which you'll end up using only ten. But still pay for all of them.

Tightest budget, basic needs: JazzHR at around $49/month, or Zoho Recruit if you have few users. Confirm current pricing first. You want Workable's or Manatal's AI and accept the model: go in with eyes open. Workable's bill climbs with your headcount, Manatal's with your users. Compare them directly against us on Workable and Manatal.

You want flat pricing and real AI: Breezy HR or PontaHR. Breezy is design-forward and feature-tiered (how it compares). PontaHR is AI-native, flat at $89 or $210 with unlimited users and jobs, set up in an afternoon, and built for you. Yes, you! A small team that has outgrown spreadsheets but doesn't need enterprise software.
